CANCELLATION POLICY FOR INDIVIDUAL, DUO and SMALL-GROUP SESSIONS

It’s understandable that unforeseen circumstances may arise that require you to cancel or reschedule your session. To ensure fairness and effective scheduling, the following cancellation policy has been implemented:

1. Cancellation Notice: Please provide at least 48 hours’ notice if you need to cancel or reschedule your session. This allows to adjust the schedule accordingly and offer the vacant appointment slot to another student. You can only cancel or reschedule by emailing petra.jordan@messageofthesong.com or calling/sending a message to (+31611845047).
   
2. Be On Time: I value your time as much as I value mine. If you are more than 15 minutes late for your session, without any notice, it will be canceled and 100% of the price will be charged.
   
3. Late Cancellations: In the event of a cancellation with less than 48 hours’ notice, a cancellation fee equivalent to 50% of the session cost will be charged. This fee helps compensate for the time reserved specifically for your session and the impact of the late cancellation on my scheduling.
4. No-Show Policy: Failure to attend a scheduled coaching session without prior notification will result in a full charge for the missed session, less emergencies as specified in the next point.
5. Exceptions: Emergencies and unexpected situations may arise, such as illness or family emergencies. In such cases, please contact me as soon as possible to discuss your situation, and I will work with you to accommodate your needs without penalty.
6. Rescheduling: You can reschedule your session with at least 48 hours’ notice at no additional charge, subject to availability. We will work together to find an alternative appointment time that suits your schedule.
7. Group Attendance: In the case of duo or small group sessions, if one or more members are unable to attend, the session can still proceed with the present member(s) if desired. However, the session fee remains unchanged regardless of the number of participants. 
8. Partial Cancellation: If one member of a duo or small group cancels with less than 48 hours’ notice, the session can still proceed with the remaining member(s). However, the cancellation fee equivalent to 50% of the participant’s cost will be charged to the absent member(s).
9. Full Group Cancellation: If all members of a duo or small group cancel with less than 48 hours’ notice, the full cancellation fee equivalent to 100% of the total session cost will apply. 
10. Rescheduling Group Sessions: Rescheduling a duo or small group session requires coordination among all members. Please ensure all members agree on the new appointment time before confirming the rescheduled session. 
11. Policy Acknowledgment: By booking a session, individually or as a group, you acknowledge and agree to abide by the terms of this cancellation policy.
